Area 11 Schedules Committee Guidelines
Mission: The mission of the Schedules Committee is to update meetings on the Area 11 website, ct-aa.org, in a timely manner.
Meetings: The Schedules Committee meets at 7:30pm on the first Tuesday of every month unless otherwise determined by the Chairperson.
Trusted Servants:
Chairperson.
- Purpose: To maintain an up-to-date database of all A.A. meetings in Area 11 including meeting times, places, and type of meeting in order that anyone interested in attending can use this information to locate meetings of Alcoholics Anonymous in Area 11.
- Suggested Qualifications: Three years of continuous sobriety with one year’s service on the Committee. The chairperson cannot concurrently serve as a DCM. Candidates must be familiar with Microsoft Word and/or website editing software and be willing to check e-mail regularly.
- How Elected: A candidate nominated by Committee members in October attends the next Area Committee meeting. Other qualified candidates may be nominated from the floor of the Area Committee meeting. The Area Committee elects the Chairperson. Term of service: two years.
- Responsibilities:
- Communicates with the Website Committee Chairperson and/or Webmaster about matters relevant to the Area 11 meeting finder.
- Requests website access credentials for committee members, as necessary.
- The Chairperson chairs scheduled committee meetings.
- Reports regularly about Schedule Committee matters at Area 11 committee meetings and assemblies.
- Forwards committee minutes and records to the Delegate and Alternate Delegate, keeping the Delegate and the Alternate Delegate informed.
- Prepares a year-end accounting.
- Prepares a line-item budget for the Budget Committee review, which includes projections of personal expenses necessary to carry out the responsibilities of the position.
- Submits budget to, and attends, Budget Committee Meetings with voice and vote.
- Functions within the budget, getting prior approval for additional expenses; submits requests for additional monies to the Area 11 Treasurer or Alternate Treasurer, who will coordinate approval (or otherwise) via the Area 11 Committee.
- Attends yearly Committee / Area Chair Meeting
- Attends all Area Assemblies and sets up informational tables at Area events when requested.
- The chairperson is a member of the Area 11 Service Committee and has one vote at Area meetings and Assemblies.
Alternate Chair:
- Suggested Qualifications: Two years of continuous sobriety with one year service on the Committee. Candidates must be familiar with Microsoft Word and/or website editing software.
- How elected: The Alternate Chair is elected by the committee for a two-year term.
- Responsibilities: The Alternate Chair assists the Chairperson in his/her duties when requested and when possible.
Recording Secretary
- Suggested Qualifications: Two years of continuous sobriety with one year of service on the Schedules Committee. Some knowledge of computer editing software is required.
- How Elected: A candidate nominated by the Schedules Committee in October will be voted in by the Schedules Committee for a 2-year term every December of an even year, with the position starting the following January.
- Responsibilities
- Does the roll call at monthly committee meetings.
- Records minutes at Schedule Committee meetings and teleconferences.
- Provides committee members with meeting minutes at least one week before each meeting.
- Distributes meeting minutes and other records to the Area 11 Chairperson, the Delegate and the Alternate Delegate, as directed by the Chairperson.
Meeting Change Dispatcher:
- Suggested Qualifications: Two years of continuous sobriety with one year of service on the Schedules Committee.
- How Elected: A candidate nominated by the Schedules Committee in October will be voted in by the Schedule Committee for a 2-year term every December of an even year, with the position starting the following January.
- Responsibilities: Sends meeting change information to the appropriate meeting list editors.
District Liaison:
- Suggested Qualifications: Two years of continuous sobriety with one year of service on the Schedules Committee.
- How Elected: A candidate nominated by the Schedules Committee in October will be voted in by the Schedule Committee for a 2-year term every December of an even year, with the position starting the following January.
- Works with District Schedule Chairs, when necessary, to update the Area 11 meeting finder.
- Works with districts to ensure schedules information is up to date when a district does not have a District Schedules Chair.
Sector Schedules Chairs.
- Voted in by the Schedules Committee, they make changes to meetings on ct-aa.org. Their term is two years. Required technical skills are similar to those needed to edit documents on Microsoft Word. The suggested sobriety is two years.
District Schedule Chairs.
- District Schedule Chairs are voted in at the district level to represent their districts on the Schedules Committee. Former website experience is not required; however, some background in computer software apps is preferred. Their term and suggested sobriety are decided by the districts they represent.
- Attend monthly Area 11 Schedules Committee meetings. Alerts Chairperson if unable to attend and identifies an alternate district representative.
- Provides meeting change information to the District Liaison, Dispatcher, Webmaster, or other technical person who will make the updates. They report to their districts the business of the Schedules Committee and bring to the Schedules Committee their Districts’ concerns regarding schedules.
- They provide information to their districts regarding the printing of meeting books.
- Communicates information about the Schedules Committee to their districts at monthly district meetings.
- Brings districts’ concerns and feedback about the Schedules Committee to the committee.
